Overview

Westwood Commons, a DePaul Senior Living Community is hiring a full-time Admissions Coordinator to work the day shift. 

 

The Admissions Coordinator oversees the assessment and financial evaluation of prospective assisted living residents, maintaining ongoing communication with families, healthcare providers, and community partners. They collaborate with other departments to support residents and families during and after admission. The role includes planning and executing marketing strategies to generate leads, build census, and foster professional relationships with hospitals, agencies, and physicians. The Coordinator also develops programs to engage families and prospective residents, leading to tours and move-ins, while working with DePaul and community leadership to meet occupancy goals.

 

The pay range for this role is $24.00-$28.00 

Plus census based incentives.

Responsibilities

  • Conduct thorough assessments of referrals using community-provided tools.
  • Schedule and conduct tours for prospective residents and families.
  • Provide guidance on alternative choices or services if residents do not qualify.
  • Maintain ongoing communication with the interdisciplinary team on new admissions and readmissions.
  • Create a supportive environment for prospective residents and families during the admission process.
  • Conduct daily rounds to ensure cleanliness and readiness for tours.
  • Participate in management meetings and provide updates on prospective residents and readmissions.
  • Communicate resident descriptions and needs to management in advance of admission.
  • Collaborate with the resident care director to complete medical paperwork before admissions.
  • Manage data entry for referrals, admissions, and denials in the CRM system.
  • Assist in marketing and community outreach to maintain occupancy levels.
  • Close sales by understanding and addressing prospective residents' needs.
  • Respond promptly to inquiries and maintain an active waiting list.
  • Utilize sales processes and systems required by DePaul.
  • Follow up on leads generated by events.
  • Develop relationships with external business sources.
  • Conduct presentations about services and programs.
  • Monitor competitor services and maintain marketing materials inventory.
  • Work with site staff on conducting tours and answering questions when you are unavailable.
  • Coordinate in-house special events.
  • Perform other duties as assigned to meet facility goals and ensure quality care.

Qualifications

  • High school diploma or GED required; bachelor’s degree in human services, business, marketing, or a related field preferred. Equivalent experience considered.
  • Minimum of 3 years’ experience in senior living or long-term care, with a focus on admissions preferred.
  • Demonstrated success in lead generation and conversion.
  • Strong interpersonal skills with the ability to collaborate across departments and engage with residents, families, community partners, and regulatory agencies.
  • Effective time management skills with the ability to thrive in a fast-paced, multitasking environment.
  • Proactive problem-solver with sound judgment and a resident-centered approach to decision-making.
  • Exceptional communication, organizational, and documentation abilities.
  • Passion for working with the elderly population and people with dementia, and a strong understanding of their placement needs.
  • Detail-oriented team player with a professional demeanor.
  • Ability to represent the community positively to external stakeholders, including vendors, families, and partners.
  • Compassion and empathy for residents and families during emotionally sensitive transitions.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with social media platforms is a plus.
  • Travel is required to meet the operational needs of the role.
  • Valid New York State driver’s license with a clean driving record per DePaul policy.
