Overview

The Payroll Assistant provides clerical and administrative support to the payroll function, with a primary focus on timekeeping data entry, reporting, and employee mileage reimbursement processing. This is a long-term temporary, part-time position expected to continue through January 2027, working approximately 15–20 hours per week.

Responsibilities

Timekeeping & Payroll Support

  • Enter and update time edits in the organization’s timekeeping system with a high degree of accuracy.
  • Run, review, and distribute timekeeping reports as needed.
  • Review employee timecards to ensure completeness and accuracy.
  • Identify missing or inconsistent time entries and follow up with employees or supervisors for resolution.

Mileage Reimbursement Administration

  • Collect employee mileage reimbursement forms and supporting documentation.
  • Audit mileage submissions for accuracy, completeness, required approvals, and compliance with company policy.
  • Prepare, track, and reconcile employee mileage reimbursement data using Microsoft Excel.
  • Follow up with employees and/or supervisors to obtain missing documentation or required signatures.

General Administrative Support

  • Maintain organized and accurate records related to payroll and mileage reimbursements.
  • Assist with other payroll-related administrative tasks as assigned.

Qualifications

Education & Experience:

  • High school diploma or equivalent, preferred.
  • Strong data entry skills with a high level of attention to detail.
  • Proficiency in Microsoft Excel and basic reporting functions.
  • Ability to manage confidential information with discretion and professionalism.
  • Strong organizational and follow-up skills with the ability to work independently.

Physical Requirements:

  • Ability to sit, stand, and use a computer for extended periods. Must be able to communicate effectively, and perform basic office tasks such as typing, filing, and operating standard office equipment.
